This position is responsible for the client relationship management of workplace planning, occupancy planning, and analyses and strategic space projects. The Workplace Planning Manager will report to the Product and Tech Team Business Partner and coordinate with other Planning/Facilities Managers to successfully deliver projects with minimum impact to employees or business operations. This includes management and coordination of all aspects of a space planning project: programming, design, estimating, resource allocations, logistics and schedule facilitation, budgeting and completion follow through.
Workplace Planning Manager Responsibilities
  • Partner and advisor to management and space contacts within business groups on all workplace planning activities.
  • Develops business case proposal with alternatives to solve complex space problems and other business requirements.
  • Partners with Workplace Data Analyst to develop and own business forecast, including headcount, to accurately track space needs that is supported by excellent data, trend analysis, possible outcomes.
  • Presents and negotiates with the business units to implement plans aligned with corporate guidelines, including scenarios to optimize use of space while meeting business requirements.
  • Responsible for integrity of the data in CAFM system related to occupancy, space utilization, allocation, space efficiency and vacancy. Identify goals and initiatives to continually improve occupancy accuracy and reporting.
  • Manages relocations including the development and execution of project planning activities, timing of group moves/relocations, migration and phasing plans, stack and block plans, architectural test-fits and relocations.
  • Develop occupancy analysis reporting to effectively communicate occupancy/vacancy ratios, headcount projections and workplace conditions.
  • Develop dashboards which includes headcount projections, capacity, vacancy, churn information, and space allocations in facilities.
  • Manage design direction and integrity for all HQ facilities, as well as selection of furniture standards. This individual will engage in research, external benchmarking, and academic, vendor and industry affiliations to identify standards that can be leveraged to enhance productivity and improve collaboration effectiveness.
  • Participates in the development & integration of space management tools & processes to improve efficiency.
Minimum Qualifications
  • 10+ years experience in Interior Design, Space Planning, Construction, Architecture or related field.
  • Experience in customer service skills including organizational, interpersonal and communication skills.
  • Proven in spatial skills with experience in the implementation of workplace strategies and the willingness to translate business requirements into space requirements for the business units.
  • Analysis of real estate and space related data, experience to direct trending analysis.
  • Financial analysis and budgeting skills related to space planning and project management.
  • Experience to work with all levels of the employees and external vendors.
  • Experience managing construction and MAC projects, overseeing and directing the work of others in multiple locations.
  • Experience in mechanical aptitude as it relates to furniture, fixtures and equipment in the workplace.
  • Experience to manage processes and relationships within a matrix organization.
  • Familiarity with CAFM tools as well as PowerPoint, Excel and Microsoft Projects.
Preferred Qualifications
  • Experience developing, launching, and maintaining desk sharing programs that support hybrid work and other work styles.
